To quickly ascertain the status of a document, such as whether it has been loaned out or returned, document statuses are represented by icons in the document library. There are four distinct icons, which collectively symbolize seven potential document states. These closely related states are grouped for clarity. Each icon thus stands for multiple possible statuses. Understanding Document Statuses Documents can simultaneously be loaned out from an Original Archive (OA) to multiple projects within the Project Network (PN). This results in multiple potential status situations. Some statuses are exclusively displayed in the Original Archive, while others, relevant to the project to which the document is loaned out, are also shown there. Example Scenario : An archive loans out a document to three distinct projects. Post-loan, the document's status in both the archive and projects shows as "Loaned Out." Project 3 decides to return the document to the archive. The result of this return is displayed next: the document status in the Original Archive is "Partially Returned" (since the document remains loaned out to two other projects). Meanwhile, the document status remains "Loaned Out" in Projects 1 and 2, with no status shown in Project 3. Table of Document Statuses Status Description Displayed in Loaned Out Status assigned when a document is loaned from the Original Archive to a project in the Project Network. OA / PN Returned Status assigned when a document is returned from ALL projects it was loaned to. OA Partially Returned Status assigned when a document is returned from one or several (but not all) projects it was loaned to. OA Released Status assigned when all loans to ALL projects are relinquished. OA Transferred to Original Archive Status indicates the document has just been transferred to the Original Archive from a project. OA Saved from External Source Status indicates the document has been transferred to the Original Archive from a source outside the Project Network. OA Linked Status displays when a document is linked in the Original Archive to the corresponding administrative archive (FA). This can coexist with statuses 1-6, meaning a document can be "Loaned Out" and "Linked" simultaneously. OA / FA Status Icons in the Document Library Documents' statuses are denoted by icons in the library: Icon Represented Status 1 Transferred to Original Archive, Saved from External Source 2 Returned, Partially Returned, Released 3 Loaned Out 4 Linked Icon number 4, symbolizing "Linked" status, is graphically represented by a chain link, signifying the connection between the Original Archive and the Administrative Archive.
