When using Projektstruktur, you might want to create new documents. This section guides you through the step-by-step process of creating a new document within the system. Preparation Before initiating the creation of a document: Navigate to the folder where you want to place your new document. Ensure the folder is highlighted, which will display the document list for the folder to the right of the folder tree. Steps to Create a Document 1. Initiate New Document Click on the menu option "New". Select the content type that you want as the basis for your document. 2. Using Microsoft Office If you're creating a new Microsoft Office document, the corresponding program will open (e.g., Microsoft Office Word). Note: To create documents that aren't in the Microsoft Office format in Projektstruktur, use the "Transfer Document" feature (refer to the "Transfer Document" section). 3. Editing & Saving Make your edits in your chosen program (e.g., Microsoft Office Word). Save your changes. Microsoft Office Word will prompt you to name your new document. 4. Metadata Input In Microsoft Office Word, you can enter any associated metadata for your chosen content type. Access the metadata fields located below the Microsoft Word toolbar under Document Properties. This is accessed under File/Info/Properties/Show Document Panel or the Office button/Prepare/Properties. 5. Finalizing the Document After saving, your document is stored in the Portal. However, it remains checked out and is "invisible" to other project participants until checked in. Upon closing Microsoft Word, you will be prompted with a check-in question. Note: When a document is checked in, it becomes visible to other users with appropriate rights. A "New!" label appears next to the filename of a newly created document. Important: Opting for [No] during the check-in prompt will save your changes in the Portal but keeps the document checked out. This prevents others from editing the document. In this article:
