Before making any edits to a document in Projektstruktur, it's essential to check it out first. This ensures that when a document is checked out (locked), no other user can edit it simultaneously. A checked-out document is indicated by a green arrow on the file's icon. Prerequisites for Editing Write Permissions To edit a document, the user must have write permissions for the specific folder where the document is located. Without these permissions, you cannot check out or modify the document in Projektstruktur. Steps to Check Out a Document Click on the Document Name: Locate and click the document you intend to edit. Click on the Document Icon: This icon represents the file type. Choose 'Edit Microsoft Office Word': If you are working with a Word file, select this option from the document's ECB menu. Check Out and Edit: Upon being prompted, ensure you select [Check Out and Edit]. After making the necessary edits, you can check the document back in. Once checked in, the document becomes available for other project participants to view and edit. Alternate Ways to Check Out From the Document List In the list, locate the document, click on its ECB menu, and select the [Check Out] option. Bulk Check Out If you wish to check out multiple documents at once, select all relevant documents from the list, navigate to the "Actions" menu, and choose the [Check Out] option. Remember to always check in the documents after editing so that your colleagues can access and make changes. In this article:
